Can I bring a friend/partner?
Generally Yes! Most events will be open to plus ones unless explicitly stated otherwise. Go ahead and book for them just let us know their name & answer dietaries etc..
Can I bring the kids? Yes…. and errr no. We’d absolutely, love to cultivate the next generation of PPSC and immersive theatre fans! But we have to have a strictly 16+ policy for events where there is a party element or like with the boat, where there were venue restrictions (it was 21+).
So for that reason we will look at having some events that are suitable for younger potential PPSC-ers like we did with Doctor Who: Time Fracture.

What happens to the money?
As pointed out by a member of the group, we stopped group ticket purchases due to the large sums of money involved now that the group is over 3.5K members.
So why is it different with this?
We have taken several steps to ensure that the money handling is done in a safe way. These include;
- This website, we decided the best way to keep track of sales and payments was with a dedicated site. This give you and us a full record of purchases.
- We opened a business account as a non-registered association. All payments go in and out of this account only. Invoices are attached to payments for full record keeping.
- Transparency. There are several people with access to the bank account meaning full visibility and the fund remain available if one of us is incapacitated.
- The funds are not drawn on for any other reason but to make payment for events.
We organise all events purely on a cost recovery basis.

What happens if I can no longer attend an event?
Most events will include a non-refundable deposit to hold a space.
We do this to know what numbers we’re working on. There are fees to receive these and to refund them- which is a large part of why it is non-refundable. We will be out of pocket if you’re no longer able to come. Please bear this in mind when purchasing.
For all PPSC Events, the price of the ticket is split into two costs; costs from the venue and “additions”, ie, AV, decorations, entertainment, fees, etc. Thus, the cancellation policy for this is split into two.
Costs associated with the venue will reflect their cancellation policy;
Costs associated with additions (guests, experiences etc) will be non-refundable in the event you cancel your place, and attendance is under the expected stated minimum. In the event attendance is over capacity and you cancel at least 2 weeks prior we can refund this to you.
In any other event, this sunk cost is non refundable, but is transferable to the next PPSC Weekender. Should you not be able to attend the next one, this will be forfeit. Please note that we will do everything we can to ensure that no-one is left out of pocket. If you have any concerns please do message us as soon as possible.
We think it’s important to note that we do this out of love for the group - we do not make profit and in the event that costs are not covered by ticket sales we either have to scale back- or foot the cost ourselves. For this reason we ask you to try to resell your ticket where possible, rather than ask for a refund as it can make things really hard. Of course we understand sometimes cancelling is unavoidable and we don’t want anyone to be any more out of pocket than absolutely necessary.

How do you set the event prices?
We organise events purely on a cost recovery basis, every penny paid covers the costs associated with the event only.
There are several elements which make up the cost of any event. These include (but are not limited to; venue, entertainment/talent, food, AV, theming, website fees, insurance etc). Some of these are fixed overall cost and some are per person (ie, food).
The process we go through to find a ticket cost starts with an estimated cost of the event along with the interest from the group on initial posts. We base the rate on a price per person on reaching the minimum number of attendees.
If we go over our estimated number, we will have more budget to spend on enhancing the event. If we end up significantly under, the amount of ‘extras’ we can offer is reduced accordingly.
Don’t worry, we work really hard to make sure that every event is amazing but the more people that attend, the bigger we can make them. For these reasons we are unable to offer a la carte ticketing due to the complexity of splitting these costs & need to ensure that we meet the contracted minimums before we are able to consider event only tickets. We’re really sorry about this but to get the pricing right there needs to be less flexibility initially. It’s also why we ask for feedback before and after, so we can make sure there is enough interest to put together an event.
We are unable to share exact breakdowns of costs from our balance sheets as this would reveal suppliers/contributors rates which have been negotiated specifically for each event

Why are you offering the payment plans?
We know these are often not a small sums of money. So by spreading the cost, we’re hoping that more of you will be able to join us. The instalments usually also coincide with venue’s payment terms, so we’ll be requesting payments at times (hopefully around your pay day) so that we can pay them as we go and don’t need to dip into our own pockets to cover costs for the group. The payment plan is the same cost plus the additional website fee for the payment processing – so works out a few £ more overall but all details are on the ticket pages.
Can I pay in one payment?
Absolutely! If you know you want to come to a particular event and when, then why wait? You’re welcome to buy your ticket outright! Please read the cancellation terms and any info on room occupancy before doing so.

Conduct
Behaviours we expect at an event; inclusive, supportive, non-judgemental, respectful.
Anyone found to be acting in an inappropriate way will be asked to leave and may find themselves banned from future events.
It is of upmost importance that we are cultivating an environment where people feel they can be themselves.
If anyone seems behavior which does not demonstrate this, please inform one of the organisers as soon as possible.
